You don't want to put the domain he is sending to, but from.
Does he have a static IP address?  If so, put that in and be done with it.
Tell him to use a real email program (something from someone other than 
Microsoft).  They will check email before sending.  This will take away 
most problems.  Or Install one of those little pop programs that checks to 
see if you have mail.  Basically he needs to login before sending 
mail.  Checking mail does it.  You can help a little by increasing the time 
in the email server settings.
